Enterprise Search

Most company knowledge is technically "available" and practically unfindable. It's in a PDF nobody remembers, a slide from last year, minute 43 of a recorded meeting. Enterprise Search looks across all of it at once: text, tables, images, video, and audio.

Go to Enterprise Search in the Knowledge section.

  1. Type what you're looking for, in plain English. Questions work better than keywords: "what are the payment terms in the Acme contract" beats "acme payment"
  2. Docana searches by meaning, not just matching words. A search for "vacation policy" finds the document titled "Paid Time Off Guidelines"
  3. Results show the matching documents with the relevant passages. Filter by collection or by who uploaded the document, and sort the results to narrow things down

What Gets Searched

Everything Docana has processed:

  • Text in any document (PDFs, Word, spreadsheets, presentations)
  • Words spoken in audio and video files
  • Text inside images and scanned documents
  • Tables, which Docana reads as data, not pictures

Permissions always apply. You only see results from libraries and collections you have access to.

Search Inside One Application

Each application also has its own Search tab, limited to that application's knowledge. It works the same way and keeps your recent searches, so you can re-run them with one click. Open it from your application.

Use Enterprise Search when you don't know where something lives. Use the application's Search tab when you're working inside one product or team.

If You Can't Find Something

  • Check it's actually uploaded: open the collection and look for the document
  • Check it finished processing: documents show their status in the collection
  • Check your access: ask the library owner to add you if the collection is private
